# Safety Management in ZeeBORN — Inspections, Findings, Follow-Up

March 2026

Keeping vessels safe and compliant requires more than checklists. It requires a system that connects the inspection on board with the follow-up in the office — seamlessly, transparently, and without anything falling through the cracks. That's what ZeeBORN's Safety Reports module delivers.

# One System, From Inspection to Resolution

Safety Reports in ZeeBORN are fully integrated with the Audit module. When an audit or inspection is scheduled, the corresponding safety report is created alongside it. From there, everything happens in one connected workflow:

Plan the inspection. Conduct it on board with a structured questionnaire. Document findings with photos and descriptions. Assign corrective actions with deadlines and responsible roles. Track completion. Close the report.

Every step is recorded, every status change is logged — giving you a complete audit trail from start to finish.

# Structured Questionnaires With Scoring

Reports are built around a hierarchical questionnaire: chapters contain topics, topics contain individual assessment items. Each item can be graded on a configurable scale — from "Excellent" to "Unsatisfactory" — with scores rolling up to chapter and report level.

  • Color-coded grades make compliance status visible at a glance
  • Chapter progress bars show how far the inspection has advanced
  • Items can be flagged as "part of scoring" or informational only
  • Standard templates can be imported from your audit library — no need to rebuild questionnaires from scratch

# Observations and Evidence

When an inspector identifies a finding, they create an observation directly within the report — linked to the relevant topic. Each observation captures:

  • A clear description of the finding
  • The category and severity
  • Photographic evidence, attached with captions
  • A due date and the responsible role for corrective action

Observations can also be created directly from photos — snap a picture, add a description, and the finding is documented in seconds. For positive findings, the same mechanism supports recording improvements.

# From Finding to Action

Observations don't just sit in a report. They generate tasks in ZeeBORN's task tracking system, assigned to the right people with clear deadlines. This closes the loop between "something was found" and "something was done about it" — with full visibility for both vessel and office.

Open findings from previous inspections are carried forward and displayed in the next report, so inspectors can verify whether corrective actions have actually been implemented.

# Audit Integration

Safety Reports and Audits work hand in hand:

  • Reports are linked to audit types and follow the same standards
  • Templates from the audit library can be imported directly into reports
  • Previous report scores are available for comparison — making trends visible over time
  • The approval workflow supports both on-board sign-off and office-level review

Whether it's an internal safety inspection, a regulatory audit, or a charterer's vetting — the process is the same, consistent, and documented.

# Offline Capability

Inspections happen on board, often without reliable connectivity. ZeeBORN supports offline data collection during inspections, so work continues regardless of network conditions. Data synchronizes automatically once connectivity is restored.

# What's New in Q1 2026

This quarter, we've added several enhancements to make daily work even smoother:

  • Create observations from photos — select an image, add context, done
  • Due dates and responsible roles per observation — clear accountability
  • Configurable evidence requirements — require photos or documents per category
  • Approval dashboard — all pending items in one place
  • Edit closed reports — make corrections when needed, with full audit trail
